Hotels never stop moving. Guests check in and out, rooms turn over, calls need to reach the right people, and charges need to appear on the correct bill. When the property management system and phone system operate separately, these everyday tasks create unnecessary work for hotel staff.
That’s where the integration between the Vodia PBX and Cloudbeds comes in. Introduced in September 2024, it connects hotel telephone services with essential Cloudbeds workflows, automating what happens to a room extension from the moment a guest checks in until the guest checks out.
This September will mark two years of the Vodia integration with Cloudbeds, but our work in hospitality communications goes back much further. In September 2014, we introduced our hotel property management system module, giving hotels a way to connect the Vodia PBX with their PMS and automate front-desk, billing, and housekeeping functions.
Since then, we’ve continued to expand our hospitality communication platform, adding new integrations and capabilities designed to reduce manual work, improve guest services, and keep hotel communications connected.
The Cloudbeds PMS
Cloudbeds is a hospitality management platform that brings property operations, distribution, guest experience, and revenue management together in one system. It helps accommodation providers manage daily operations, grow direct bookings, optimize pricing, and make decisions using real-time information. Cloudbeds is used by tens of thousands of properties in more than 150 countries.
How It Works
The Vodia PBX and Cloudbeds work together to keep each room extension aligned with the guest’s status throughout their stay:
- When a guest checks in, the corresponding room extension is enabled for making and receiving calls. The guest’s name is also assigned to the extension.
- Hotels can use dial plans to control external calling permissions, including whether guests are permitted to make international calls.
- When billing plans have been configured in the PBX, call charges can be calculated according to the destination and duration of each call, then posted to the guest’s room in Cloudbeds.
- At check-out, the corresponding room extension is reset and disabled, preparing it for the next guest.
- Call logs, call history, chats, and voicemails associated with the previous guest are deleted, helping protect guest privacy.
These automated workflows reduce manual administration while keeping hotel telephone services synchronized with activity in Cloudbeds.
Setting Up the Integration
Hotels can install the Vodia app through the Cloudbeds Marketplace. In the Vodia PBX, an administrator selects Cloudbeds under the hospitality settings, adds the credentials provided by Vodia, and configures room preferences, such as dial plans and guest calling permissions.
