Call routing and seamless connection to guest rooms

In the fast-paced hotel environment, every call matters. Whether it's an inbound booking or a guest request, the right staff member must respond promptly or risk losing revenue from bookings and in-house services. For call routing and receipt of calls, the combination of Vodia with Teams is the perfect solution: hotel back offices and front offices can connect to rooms with devices registered to the PBX, and staff can use DECT multicell as a cordless, in-house solution, or a softphone mobile app. Additionally, deploying Vodia’s on-premise PBX ensures internal and external communications stay intact, even in the absence of internet connectivity - a critical feature for any hotel operation.

We’ve created a project example, a fictional hotel, The Grandview, which has 150 rooms and employs 50 people, including kitchen staff, housekeepers, front desk personnel and maintenance. The Grandview had already adopted Microsoft Teams for internal communication but faced challenges with guest communications and call center functionality.

Soon after installation, the Grandview reaped the benefits of combining the Vodia PBX with Teams, including enhanced call center functionality, direct staff-to-room communication, real-time guest service and streamlined housekeeping and maintenance activities. While it continued to use Teams for administrative communication, adding Vodia to the mix added call center functionality to the hotel’s internal and external communications, providing efficient routing and management of inbound booking calls, in-house guest service requests and improved staff-to-room contact. It's a unified communication ecosystem, one that fosters better collaboration and streamlines operations across all departments.
