The Vodia PBX Gives Hotels a Peerless Suite of Hospitality Features

Vodia PBX delivers a comprehensive hospitality communication system that enhances guest experience and streamlines hotel operations. The Vodia PBX hospitality feature set is to provide an optimal guest experience while streamlining hotel operations. This feature set includes multiple device registration, even across device classes, as well as guest mailboxes, privacy, support for superior audio quality, and a full range of robust features for a cutting-edge telephone system for hotel staff, management, and guests. 

Room Device Support

  • Analog devices: The Vodia PBX supports several analog gateways, as well as specialized devices that leverage analog lines with a digital VoIP phone experience.
  • Guest cell phone: Guest cell phone numbers can be associated with their rooms - the phone system uses this information when guests call the hotel to display their names to staff and when guests are called at their room numbers. 
  • In-house apps: The Vodia WebRTC front end can be integrated into a hotel app; it can be integrated with apps guests use and with apps embedded in devices in rooms. 
  • VoIP phones: Hotels can choose from a large range of VoIP phones, many of them designed specifically for hotel rooms, with devices harmonized as needed. 

In-House Communication

  • Device support: The Vodia PBX supports an impressive range of office VoIP devices, including desktop phones, single-cell and multi-cell DECT systems, Radio over IP (RoIP) devices for walkie-talkie integration, Wi-Fi-phones, door phones, and other specialized devices for hospitality settings. The browser can also be used with just a headset.
  • Emergency call support: If a guest or staff member dials an emergency number, the system will inform security staff or front desk attendants as to the origin of the call; it will then present the call source to the emergency call response call center where applicable, and an email will document the call.
  • Guest calls: A policy decides if room-to-room calls are possible for guests, with defined exceptions (e.g., for group check-ins). The system can restrict the numbers a guest can call on the property and outside it; additional calling features, such as call screening and conference calls, can be enabled for VIP guests. 
  • Microsoft Teams integration: Hotels can blend Microsoft Teams extensions with guest rooms and other in-house devices, such as lobby phones, enabling seamless calls between Teams users and hotel rooms.  
  • Multiple language support: All announcements are available in multiple languages, including announcements for guests. Guest mailboxes can be set to each guest’s preferred language.
  • Wake-up calls: Wake-up calls can be programmed with a guest phone or through the Vodia REST API and PMS integration where available - callback can be automatic or sent to the in-house queue. 

App Support

Either as a standalone platform or as part of a hospitality communication system, the Vodia PBX can be used with guest phones to communicate with staff. It gives guests:

  • Auto log in to hotel WLAN
  • Easy access to hotel affiliate offerings (restaurants or cafes, dial for reservations)
  • Easy access to hotel communication features (room calls and front desk)
  • Easy access to hotel services with speed dial buttons (airport transfers, excursions, service packages)

Technical Setup

  • Guests bring their own hotel phone as an app
  • Guest phone app is registered at the hotel PBX automatically after check-in (PMS integration)
  • The Vodia PBX allocates an extension to guests during their stay

PMS Integration

The integration of the Vodia PBX with the PMS system allows staff to set room check-in status and guest names. 

  • Do-not-disturb status can be set from the PMS side and from the room itself 
  • Room numbers and hotel room extensions can be different, permitting simple dial prefixes for guest room calls
  • Staff can use codes to set room status (e.g., “cleaned” or “revisited”)  
  • System can generate room charges for external/international calls
  • System moves mailbox content to the new room assignment when the PMS triggers a room change

In tandem with the PMS, the Vodia PBX gives hotels CRM integration for incoming calls, triggering outgoing calls, call logs, etc. 

In-House Call Center

Vodia PBX call center features are available to hotel staff, including call distribution, caller announcements, callback, and many more features for in-house and external callers. 

  • Call analytics for staff management 
  • Callers on hold can hear pre-programmed announcements, e.g., for campaigns, events, etc. 
  • Operators can look up guest names via the web portal 
  • Hotel staff can override do-not-disturb status for wake-up calls, clarification for room service orders, etc. 
  • Queues can be assigned priorities - e.g., for VIP guests

Building Automation

As with the general feature set of the Vodia PBX, there are several other features available specifically designed to integrate with building automation platforms:

  • Staff can use overhead paging when necessary, and for announcing calls to emergency numbers and queues
  • The PBX integrates with door phones that can be used for access control - this can be done for both staff and guests
  • General SMS integration can be used to communicate with guests, e.g., for sending check-in messages and for general guest communication
  • Easy to link speed dial buttons on guest phones to building automation options with the phone system’s WebHook features, such as opening and closing blinds 

Server Management

The Vodia phone system can be run in the cloud or on premise, even in environments where internet connectivity isn’t always available. It runs on a variety of operating systems with modest resources, allowing for simple failover and backup concepts.

The system scales with the underlying hardware and can be used in properties with more than a thousand rooms. It provides interfaces to standard monitoring tools, and its large range of built-in monitoring and management tools simplifies installation and operation, even in challenging environments. Vodia at Enterprise Connect 2025: Embracing AI and Advancing Communications
